Day of Program Instructions for Channel Islands Live Distance Learning

Once your program is scheduled for your location and you have set everything up and connected to our test room at least one time prior to your scheduled program, you are ready to follow the Day of Program Instructions below.

NOTE: It is highly recommended that you use the same equipment, in the same location, and using the same internet connection that you tested with previously.

1. Confirm your high speed network.

2. Obtain the necessary equipment.

3. Connect and setup the equipment.

4. Connect to the Channel Islands Live at Anacapa Island Videoconference room.

5. End the call.

Step Details

1. Confirm your high speed network.
The recommended bandwidth needed to support the broadcast is at least 384Kbps. Check with your IT support staff if you do not know your connection rate or to get an estimate, visit http://www.speedtest.net. Unless you are using a tablet, phone or other mobile device, It is recommended that you use a wired network connection when possible and disable wireless (Wi-Fi 802.11 b, g, n)

2. Obtain the necessary equipment.

  • Computer, tablet, or phone with either a built-in or external microphone and camera is required.
  • External speakers (unless using a TV) are preferred so it is loud enough for everyone to hear clearly.
  • TV, LCD projector, or Smart Board.
  • Optional: You may also connect via a standards-based videoconferencing machine (also called a "room system") such as Cisco™Telepresence, Polycom™, Tandberg™, LifeSize, or similar equipment.

3. Connect and setup the equipment.

  • Connect an external camera and/or microphone to your device if needed.
    An integral (built-in) microphone will work but an external USB microphone works best. Make sure the microphone placement is easily accessible to students to help facilitate interaction with the park ranger.This is critical to the success of the program. It is OK to mute your microphone once you are comfortable with your sound check. Be sure to unmute the microphone when the program begins.
  • Connect your device to a TV, LCD projector or Smart Board.
    The screen at your location should be of good quality and large enough so students can easily see the broadcast image. Check the lighting in the room to make sure the image is clear. You may have to turn off lights or close window blinds as necessary to minimize backlighting.
  • Connect your device to an external speaker.
    You may not need external speakers if your videoconference device has built in speakers or your projector has an audio input or if you are using a television. Be sure the speaker volume is set loud enough for everyone to hear clearly.

4. Connect to the Channel Islands Live at Anacapa Island Videoconference room.

Refer to the confirmation email sent to you for your scheduled program for specific URL link or videoconferencing machine numbers you need to dial.

NOTE: This URL link or videoconferencing machine number is different than the test link you used to test your equipment. Do not use the test room link as that is only a test and the program will not be broadcasted at that location.

using a Computer, Tablet, or Phone:

  • 20 minutes before your scheduled program start time, connect from your location by clicking on the URL sent to you via email confirming your program date and time.
  • If you are not using the same device you tested with, you may be prompted to download the Vidyo app/plugin. Once the download is complete close the browser/app and re-click on the specific URL link that was sent in your confirmation email.
  • Welcome screen information:
    • Enter your school’s name.
    • Do NOT check the box to “Share screen upon connection.”
    • Click on the camera icon so that it turns red with a line through it.
      This turns your camera off which is required for this program.
    • Click “Connect.”
  • You should either see the NPS/VCOE logos or a view from Anacapa Island and possibly a park ranger. If you don't see the logos or a view from Anacapa Island within several minutes, refer to the help section for assistance.
  • Adjust the volume on your device and on your external speakers so the entire room can hear the audio comfortably.
  • Turn your camera OFF.
    Your camera must be turned off for this program. Leaving your camera on will cause the program to fail. If you did not turn your camera off in the welcome screen, turn off your camera now in the Vidyo program by clicking on the camera icon located on the toolbar at the bottom of the screen. If this tool bar is not showing, hover your mouse over the bottom of the screen and it will appear. Your camera is off when the camera icon turns red and there is a red line through the camera icon.
    (Note: These broadcasts run live on the park’s and our partner’s (explore.org) website and Facebook pages. To ensure your students privacy we require that the camera be turned off on the day of broadcast.)
  • Make sure you are NOT screen sharing.
    Screen sharing means that everyone in the conference will see whatever is on your screen. This will cause the program to fail. If you somehow turned on screen sharing, the screen sharing icon (box with a play button) on the toolbar at the bottom of the screen will be green. If you hover over this box, it says “start sharing.” To turn off, click on this icon, select “stop sharing” and the icon will turn grey.
  • Ranger will start the program at the scheduled time.Make sure your class is ready at the scheduled time. Unmute the microphone. Introduce yourself and your class to the park ranger. Relax and enjoy the program!
  • End the call when program is finished.


Or Usining a Videoconferencing Machine:

  • Dial by IP address: 205.154.84.77
  • Enter Conference/Room number sent to you via email confirming your program date and time.
  • Note: You may also connect by dialing the room number@205.154.84.77.
  • You should either see the NPS/VCOE logos or a view from Anacapa Island and possibly a park ranger. If you don't see the logos or a view from Anacapa Island within several minutes, refer to the help section for assistance.
  • Adjust the volume on your device and on your external speakers so the entire room can hear the audio comfortably.
  • Turn your camera OFF through your device.
    Your camera must be turned off for this program. Leaving your camera on will cause the program to fail.

  • Ranger will start the program at the scheduled time.
